JOB OVERVIEW
As a Dental Treatment Plan Coordinator / Dental Receptionist at Courtside Dental, you will play a crucial role in enhancing our patients' experience by managing treatment planning and administrative tasks with precision and care. You will serve as a key liaison between patients and our dental team, ensuring clear communication and smooth coordination throughout their treatment journey. Your responsibilities will include scheduling appointments, handling patient inquiries, processing insurance claims, and maintaining accurate patient records. KEY RESPONSIBILITIES
- Patient Coordination: Greet and check in patients with a friendly and professional manner and manage patient flow and address any immediate needs or concerns.
- Appointment Scheduling: Schedule, reschedule, and confirm patient appointments.
- Predeterminations: Gather and organize necessary information to submit predeterminations for various dental procedures via email, mail, or online portals. Follow up with patients and insurance companies to obtain plan breakdowns and processed predeterminations, and provide patients with estimated out-of-pocket costs based on their insurance benefits.
- Treatment Planning: Assist in the development and explanation of treatment plans. Work closely with providers to ensure patients understand their options and associated costs.
- Insurance and Billing: Submit electronic and paper insurance claims and follow up on unpaid claims. Provide patients with clear billing information and payment options.
- Record Management: Maintain accurate patient records and ensure compliance with privacy regulations. Update patient information as needed.
- Administrative Tasks: Provide administrative support by maintaining accurate patient records in compliance with PIPEDA regulations. Perform general office duties, including answering phones, managing correspondence, typing documents, and keeping the reception area clean and organized. Assist in other office tasks as needed, based on qualifications.

QUALIFICATIONS
While specific qualifications are preferred, we are open to considering candidates who have similar skills or can demonstrate relevant competence. If you possess experience or abilities that align with the role, we encourage you to apply and showcase how you meet the job requirements.
- Experience: Previous experience as a dental receptionist or in a similar role preferred. Familiarity with dental terminology and procedures is a plus.
- Dental Insurance: Experience with assignment of benefits is an asset. Experience dealing with private dental insurance companies as well as programs such as Non-Insured Health Benefits (NIHB), the Canadian Dental Care Plan (CDCP), and Supplementary Health also preferred.
- Technical Proficiency: Familiarity with dental practice management software (Curve Hero), Weave Business Messaging System and basic office software (e.g., LibreOffice, Google Docs, Google Sheets, etc.). Ability to learn new systems quickly.
- Skills: Excellent communication and interpersonal skills. Strong organizational abilities and attention to detail. Ability to handle multiple tasks efficiently and work as part of a team. Strong problem-solving skills and a patient-centric approach.
- Education: High school diploma or equivalent required. Additional certifications or training in dental administration are beneficial.
